LOCAL PILOT / HUMAN REVIEW

Voice Ledger Milestone 9

Review a trader’s note. Confirm the details with them. Then save the transaction.

Market-trader pilot · Use fictional data while testing. WhatsApp text intake is enabled for review; receiving a message never creates or confirms a ledger entry automatically. Local tests are labelled simulation.

Choose a shop to begin.

Backup all shops

The backup includes every shop's customers, financial entries, products, stock history and incoming notes on this computer. Save it somewhere private. This local shop selector is not a login or access-control system.

Incoming notes

Text notes await human review. Receiving a note does not change sales, debts or inventory. Choose Review this note to analyse it and prefill the review form. Customer selection remains human-reviewed. Use an existing customer, create a reviewed new customer, or choose Walk-in / Cash Customer for an anonymous fully paid sale. One note can create one draft. Split notes containing several transactions manually into new notes after checking for duplicates.

Try a local simulation

This creates a test note for the selected shop. It does not send or receive a WhatsApp message.

1. Enter a note (optional)

Use a note to prepare the form, or enter the sale directly in step 2 below.

Type a note, use Windows + H in the transcript box, or record audio. Windows dictation uses Microsoft’s online service; use fictional data for testing.

Record or upload audio (optional)

Audio transcription uses the configured speech-to-text service. Always verify names and amounts before saving.

Up to 2 minutes / 10 MB. English baseline. Audio may be sent to the configured transcription provider. Verify numbers and names.

No entry is saved by transcription or preparation. Choose the customer, review the amounts, and create a draft below.

M7 - Reports

Reports use Nigerian time and confirmed, unreversed entries. Drafts are excluded. Daily and custom reports use the immediately preceding equivalent range; weekly, monthly, quarterly and yearly reports use the corresponding calendar-aligned preceding period.

All-time totals

Confirmed, unreversed entries only. Collections include repayments; these figures are not profit.

Inventory

Quantities use the unit assigned to each product. Confirmed sales deduct stock; reversals restore it. Existing sales are not retroactively deducted.

Products, suppliers & branches

Suppliers

Register suppliers once so voice and WhatsApp stock notes can match them without guessing.

Locations / branches

Register branches, stores and warehouses once. Voice suggestions that sound similar are never silently accepted; choose the correct registered location before saving.

Branch pricing

M6B · Branch pricing

Company price is the default selling price. A branch may add logistics, handling, miscellaneous or another adjustment. Inventory cost/COGS is not changed by these selling-price adjustments.

Stock by location

M4 · Stock by location

Internal transfers move already-owned stock between the main shop and registered branches. They do not change whole-business stock quantity, inventory value, sales or profit.

2. Review and save a draft

For goods, select a product and quantity so stock will be deducted after confirmation.

For anonymous counter sales paid in full now. Credit and partial-payment sales require a named customer.
Choose a product, quantity and sale location to see the configured selling price.

If WhatsApp suggests an item that is not already registered as a product, select or add the correct product first. The quantity will not be applied to inventory until a product is chosen.

M8 - Payment evidence

Payment evidence records where a received amount was reportedly paid. These records do not change sales, debt or stock. They will be matched against ledger collections during reconciliation.

Present payment evidence

Presented payment evidence
Reconciliation sessions

Compare ledger collections with presented payment evidence and completed matches. An open session is not reconciled until outstanding differences are resolved.

Daily closings

Final branch-day sign-off based on an approved reconciliation session. Financial differences remain visible even after operational approval.

Customer balances

Drafts and confirmed entries

Only confirm after the trader approves the amounts and customer. Repayments do not count as sales.

Financial Controls

Review reconciliation, branch-day closing and the financial control audit trail. Payment evidence remains under Sales & Payments.

Financial control activity

Audit trail for payment evidence, reconciliation and daily closing actions.

M5B · Users & access management
